Getting Business Knowledge Out of AI Memory and Back Under Business Control

AI conversations were becoming useful working memory, but important business knowledge could not be left inside individual ChatGPT or Claude accounts. We moved that knowledge into a business-owned source that approved AI tools can use.

Project view

01

The challenge

Important context was increasingly accumulating inside AI conversations. If that became the only place the knowledge existed, the business would depend on individual accounts, particular models and fragmented versions of its own information.

02

What we did

Moved canonical business knowledge, decisions and instructions into a business-owned source of truth, then created a retrieval layer and explicit rules controlling what context approved AI tools and agents can use.

03

The shift

Business knowledge remains owned and governed by the business

The situation

The challenge

The response

What we did

Moved canonical business knowledge, decisions and instructions into a business-owned source of truth, then created a retrieval layer and explicit rules controlling what context approved AI tools and agents can use.

Canonical business records remain the source of truth. A derived semantic index supports retrieval, while per-agent context policies govern which information may be sent to external models.

The shift

What changed or became possible

  1. 01

Business knowledge remains owned and governed by the business

  2. 02

More than 5,000 derived knowledge chunks indexed from canonical source records at the time of this case study

  3. 03

Different AI tools can work from approved business context without becoming the source of truth

  4. 04

Agent context boundaries are explicit rather than dependent on one large prompt
